Please read these Terms and Conditions carefully before completing your registration for Singapore Future AI Summit 2025 ("the Event"). By registering for the Event, you ("the Participant") agree to be bound by these Terms and Conditions.

1. Registration and Payment

1.1 Payment Method: All payments for the Event, including online conference access, must be made via international bank transfer to the bank account specified during the registration process. Please ensure all bank charges are covered by the sender. Your registration will only be confirmed upon successful receipt of the full payment.

2.1 PT. Secreative Kita Maju (Indonesia) is the official payment processor for all ticketing and event fees. As such, any bank account information displayed on your ticket invoice will be under the company name of PT. Secreative Kita Maju. This is the correct procedure, and there is no need for concern.

2. Online Conference Access and No Refund Policy

2.1 Online Conference Access: Access to the online conference content will be provided upon confirmation of your registration and full payment. Details on how to access the online platform will be sent to your registered email address prior to the Event.

2.2 No Refunds: All registrations for the online and offline conference are final. No refunds will be issued for any reason, including but not limited to, non-attendance, technical issues on the participant's end, or changes in the participant's schedule. Participants are responsible for ensuring their technical setup meets the requirements for accessing the online and offline conference.

3. Event Audience and Age Restrictions

3.1 Children Not Allowed: Our events, whether in-person or online, are primarily for business professionals. They're generally not suitable for children under 16. The Organizer may restrict entry to certain areas, such as executive workshops, if they are deemed inappropriate or impractical for children under 16.

3.2 Event Entry and Conduct: The Organizer can, at its sole discretion and without liability, refuse entry to or remove anyone from the event (whether in-person or virtual). This includes, but isn't limited to, individuals who don't follow these terms and conditions, or those deemed a security risk, nuisance, or annoyance to the event's operation. By attending, you agree to follow all reasonable instructions from the Organizer, venue staff, security, and management.

3.3 Consent to Filming and Photography: By attending the event, you agree to be filmed, sound recorded, and photographed. This footage, which includes your image, is referred to as "Content." You acknowledge and agree that the Organizer exclusively owns all rights to this Content. This means you give up any rights or claims you might have regarding the Content or its use. The Organizer can use this Content anywhere in the world for promotional and other purposes, without paying you.

4. Use of Personal Data

4.1 Consent to Data Use: By registering for the Event, the Participant explicitly agrees and provides their clear and explicit consent to the collection, processing, and use of their personal data by the Event and its designated partners for purposes related to the Event, including for marketing purposes as detailed in our Privacy Policy.

4.2 Purpose of Data Use: This data may be used for, but not limited to:

  • Processing your registration and providing access to the Event.

  • Communicating important updates and information about the Event.

  • Sending post-event surveys or feedback requests.

  • Sharing with our official event partners (e.g., sponsors, exhibitors) for legitimate business purposes, such as direct marketing of relevant products or services, networking opportunities, or statistical analysis, as further detailed in our Privacy Policy.

4.3 Data Security: Singapore Future AI Summit 2025 will implement appropriate security measures to protect your personal data in accordance of Republik Indonesia’s Law No. 27 of 2022 on Personal Data Protection (PDP Law) and other applicable Indonesian data protection regulations.

4.4 Withdrawal of Consent: Participants may withdraw their consent for the processing of their personal data at any time in accordance with our Privacy Policy. Please note that withdrawing consent may affect your ability to receive all event-related communications or participate fully in certain event features.

5. Personal Safety and Insurance

5.1 Personal Responsibility: Participants attending the physical, offline component of the Event are solely responsible for their own personal safety, belongings, and well-being throughout the duration of the Event, including travel to and from the Event venue.

5.2 Personal Insurance: It is the sole responsibility of the Participant to arrange and maintain appropriate personal insurance coverage, including but not limited to, travel insurance, health insurance, and accident insurance, for the entire duration of their participation in the physical Event.

5.3 Exclusion of Liability for External Accidents: Singapore Future AI Summit 2025 and its affiliates, employees, agents, or partners shall not be held liable for any injury, damage, loss, or death sustained by any Participant resulting from accidents, incidents, or unforeseen circumstances that occur outside the designated Event premises or outside the direct activities of the official Event program. This includes, but is not limited to, accidents during travel, accommodation, or any independent activities undertaken by the Participant. Participants acknowledge that any such incidents are not covered by any insurance held by the Event.

6. Fully Funded Scholarship

6.1 Selection Process

The selection of scholarship recipients is final and is overseen by an independent panel of judges, which includes board members and industry experts. The decision of this panel cannot be contested.

6.2 Notification and Confirmation

Selected participants will be notified via email. You must confirm your acceptance within the specified timeframe to secure your spot. Failure to do so may result in your offer being forfeited.

6.3 Travel and Accommodation

For fully funded delegates, the type of flight and accommodation provided will be at the organizer's discretion.

6.4 Visa Assistance

The organizer will provide an invitation letter to assist international delegates with their visa application. However, the organizer is not responsible for a delegate's failure to secure the appropriate visa to enter Singapore. All visa arrangements and fees are the sole responsibility of the delegate. The organizer will not be liable for any costs or consequences resulting from a failed visa application.

6.5 Application Fees

A mandatory, non-refundable application fee is required for all scholarship categories. This fee will not be refunded under any circumstances, even if your application is incomplete or you are not selected for the scholarship. You are automatically entitled to the Online AI Masterclass access by paying the application fees.

6.6 Dispute Resolution

By submitting your application and paying the fee, you agree not to pursue legal action against the organizer regarding the non-refundability of the application fee. The organizer reserves the right to counter any claims, and the applicant assumes responsibility for any associated losses.

6.7 Code of Conduct

Participants must refrain from any form of defamation whether oral, visual, or auditory—against the organizer. Violations of this code of conduct will result in legal action.

If the event is rescheduled within two weeks of the original opening date, or canceled but expected to be held in the next calendar year. In these cases, no refunds will be issued for fees already paid.

If the event (or part of it) is canceled and not expected to be held in the next calendar year, your registration becomes invalid. You can then choose between a refund or a credit note for paid registration fees and won't have to pay any remaining fees. Please note that service charges are never refundable.

Your personal arrangements, like travel and accommodation, are your responsibility. The Organizer is not liable for any costs related to these, even if the event is canceled or rescheduled. You agree that these terms outline your only remedy if the event is canceled or dates change, and the Organizer has no other liability.

7. General Provisions

7.1 Event Changes and Cancellations: The Organizer can cancel or change event dates at any time for any reason.

7.2 Understanding Your Event Participation: When you participate in or attend our event, you fully accept all associated risks. The Organizer doesn't guarantee any specific outcomes or aspects of the event, including:

  • The presence, absence, or location of any exhibitors, sponsors, or attendees.

  • The total number of exhibitors, sponsors, or attendees.

  • Any commercial or other benefits you might gain from attending.

Unless specifically stated otherwise in the event's registration process, all other warranties, representations, and terms are excluded.

Specifically, the Organizer is not responsible for any products displayed or sold by exhibitors or sponsors. These limitations and exclusions apply only to the extent permitted by law.

7.3 Changes to the Event: Singapore Future AI Summit 2025 reserves the right to make changes to the Event program, speakers, dates, or format if necessary, without prior notice.

7.4 Entire Agreement: These Terms and Conditions constitute the entire agreement between the Participant and Singapore Future AI Summit 2025 concerning the Event and supersede all prior or contemporaneous communications and proposals, whether electronic, oral, or written.

By proceeding with your registration, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
